How to Convert PST to PDF in Batch

By the Sensory Networks Editorial Team Updated July 3, 2026 7-minute read

Quick answer: Install Total Outlook Converter, open your PST or OST file in its folder tree, tick the folders or messages you need, choose PDF, set a file-naming template (date, sender, subject), and press Start. Every message becomes a PDF on your own disk with no upload, no per-file clicking, and the Outlook folder tree intact.

A PST file is only useful to people who run Outlook. The moment mail has to reach an auditor, a lawyer, a records system or a colleague on a Mac, it needs to become something universal — and for archived correspondence that something is almost always PDF.

Why convert Outlook mail to PDF at all?

PDF freezes a message the way it looked: headers, body, formatting, embedded images. It opens on every OS and phone made this century, needs no mail client, prints predictably, and can be page-numbered or Bates-stamped for legal work. A folder of PDFs is also searchable by any desktop indexer, which a closed PST is not. If the mailbox belongs to someone who left the company, PDF conversion turns a fragile, application-bound archive into plain files any successor can read — the same logic our eDiscovery export guide builds on.

What you need before you start

Step by step: PST to PDF with Total Outlook Converter

  1. Install and launch the converter. Run the installer and start the program. No Exchange connection is required; the app reads the data file directly.
  2. Open the PST or OST. Use the file panel to browse to the archive. The mailbox unfolds on the left exactly as it did in Outlook — Inbox, Sent Items, and every nested project folder.
  3. Select what to convert. Tick entire folders for a full export, or open a folder and check individual messages. Nothing is converted that you did not select.
  4. Filter, if you need a slice. Fielded filters narrow the batch by date range, sender, recipient, subject or keywords — the difference between "the whole decade" and "Q1 2025 only".
  5. Choose PDF and set the options. Pick PDF as the target (DOC, RTF, TXT, HTML, TIFF, JPEG and EML sit in the same list). Decide between one PDF per message or a single merged document, set the naming template — date, sender and subject in the file name pays off the first time you search the archive — and add page numbers or Bates-style stamps if the export is headed to counsel.
  6. Press Start and verify. The batch runs offline at disk speed. When it finishes, spot-check a few PDFs: headers present, attachments where you expect them, folder tree mirrored in the output directory.

What happens to attachments?

The standard edition saves each message's attachments in their original format, either next to the PDF or into a folder you choose. That is fine for archiving, but a reviewer then has to open spreadsheets and images separately. Total Outlook Converter Pro ($99.90) closes that gap: it converts the attachments themselves and embeds them into the output PDF, so one file per message really contains the whole message.

Does the folder structure survive the export?

Yes, and you should insist on it. With the folder-structure option on, the converter recreates the mailbox hierarchy as directories: what lived in Inbox/Clients/Meridian in Outlook lands in Inbox\Clients\Meridian\ on disk. Two years later, that context is the difference between an archive and a junk drawer of 11,000 files.

Can I convert OST files the same way?

The workflow is identical — the converter reads OST directly, without the original mail account or server. That matters because Outlook itself refuses to open an orphaned OST. The background, and when each file type appears, is covered in our OST vs PST explainer.

Automating recurring exports

If this is a monthly or nightly chore rather than a one-off, the same conversion runs from a command line: one line in a .bat file, scheduled by Windows Task Scheduler, converts whatever accumulated since the last run. The working pattern, scheduling syntax and the server-side X edition are covered in the command-line guide.
